Do you want to exhibit at conferences? Our tips:

Conferences are events that pose their own challenges to the exhibiting companies. If you follow some basic rules, however, it can be an extremely rewarding experience for showcasing your company or certain products.

Typically, conferences take place at hotels or convention centres. As a sponsor and exhibitor, you often will only get a small booth space in the lobby. Based on our experiences, booth dimensions will range between four and six square meters. This space should now be used to present your brand in the best possible light – even if the allotted space will force you to scrap a lot of ideas.

Our tip: Before the event, get in touch with the employee that manages booth spaces at the event location. Where will you get a WLAN code on the day of the exhibition, is the booth space more in the light or in the dark, and so on – now, you can better plan your presentation and take a lot of stress out of booth installation.

Typically, conferences offer little time to install and dismantle a booth. Often, your first opportunity to set up a booth will be in the morning of the day on which the event starts. Particular in hotels, setting up the booth must not make a lot of noise and it must be an especially clean installation. After all, hotel guests should not feel disturbed by your work. Please keep in mind that revolving doors and similar obstacles may make it more difficult to transport equipment to your booth space.

Our tip: See that you arrive with ready-to-use and easy-to-carry equipment. Especially when you plan to set up the booth yourself, you should not underestimate how much time it will take – after all, you will have to make yourself presentable at your trade show booth thereafter.

As exhibitor, you rely on the conversations with conference participants during the breaks between presentations and workshops. The conference agenda determines most of your own schedule. Expect not being able to speak to all the people you would like during agenda items – after all, the participants paid for the conference and will most likely not pass up anything agenda-wise only to talk with you. This means you need the breaks in between to make conversation. During those breaks, conference participants will rush into the lobby, and you will have your chance to talk to prospects.

Our tip: Get a participants list in advance, and decide before the conference with whom you want to talk. Some conference organizers also offer matchmaking with participants of the conference.

Most participants of an industry conference know each other. In contrast to anonymous trade show visitors, they will sooner or later pass on information. This will offer both risks and opportunities. Negative experiences will be talked about as much as positive ones. Your aim should be to give participants a lot of positive things to say about you and your brand.

Our tip: Think of something! Unusual giveaways or presentations of innovative products will get the word out. One example: Presenting your product on the latest iPad – one that few people have even been able to try out until now – can be instrumental in attracting participants to your booth!
